Easy Steps for Creating a Welcome Email Sequence
Now, you’ve got people signing up for your email list—YAY!
But now what? Instead of letting new subscribers just sit there, let’s create a powerful welcome sequence that creates excitement, builds trust, and leads to bookings.
Step 1: The Warm Welcome (Email #1 – Sent Immediately)
Subject: “Welcome! Let’s Create Some Magic Together”
Introduce yourself and share a quick, friendly story about why you love photography.
Set expectations for what they’ll receive from you (tips, exclusive offers, sneak peeks).
Call to action: Encourage them to reply and introduce themselves!
KEY TIP: It’s important to send this first email within seconds/minutes of recieving the download or onboarding to your newsletter! If you have people that send you emails and don’t even remember who they are or how they landed in your inbox, don’t let that be YOU! Introduce yourself and let them know what they can look forward to hearing from you!
Step 2: Provide Value (Email #2 – Sent 2-3 Days Later)
Subject: “3 Tips for a Stress-Free Photoshoot”
Share an actionable tip they can use to prepare for a future session.
Link to a blog post or resource (like a guide on what to wear).
Call to action: Invite them to follow you on Instagram or Pinterest for more inspo.
KEY TIP: I love including a FREE GIFT – literally just a link to some of my favorite AMAZON OUTFIT IDEAS or bribe ideas (anything that isn’t chocolate or will turn your kids tongue colors!) for kiddos and photo shoots. Next, you’ll be surprised how quickly you’ll gain trust if you add value, even if they feel like no brainers to you!
Step 3: Build Authority (Email #3 – Sent 5 Days Later)
Subject: “How to Choose the Right Photographer (And Why I Might Be Yours ?)”
Educate them on what to look for in a photographer.
Showcase your style and how you make clients feel comfortable.
Call to action: Direct them to your portfolio or testimonials page.
KEY TIPS: Clients are often really loyal to their photographers and we LOVE that! You may have friends and dream clients that land on your email list that may not even live close to you or may be working with another favorite local photographer. Keep showing up and sharing value!
Step 4: Offer Something Special (Email #4 – Sent 7 Days Later)
Subject: “A Little Thank You – Just for You!”
Offer a limited-time discount, bonus, or early access to your mini-sessions.
Share behind-the-scenes content to build excitement.
Call to action: Encourage them to book a session now or schedule a consultation.
KEY TIP: Who doesn’t love a FREE gift, a goodie or something to look forward to!? I’m a huge fan of offering fast action bonuses, but not necessarily giving discounts. Extending my time on the day of their shoot, including extra print credits or even offering a styling and prep call before a mini session would really set you apart!
Step 5: Keep the Conversation Going (Email #5 – Sent 10 Days Later)
Subject: “What’s Holding You Back? Let’s Chat!”
Address common objections (price, nerves, time) with reassuring solutions.
Share a success story or testimonial from a happy client.
Call to action: Encourage them to hit reply and ask questions.
KEY TIP: Only if they haven’t booked yet, I love to send reminders. Mamas are BUSY! Staying top of mind will help them remember. They my not be ghosting you, they probably forgot or it slipped their mind. Remember, they wanted to join the email VIP list, they WANT to hear from you! Don’t ghost them!
